A purpose-built publication workflow

When you publish,
the right people should know.

Publishing content is only part of the responsibility. Schools, organisations, hospitality groups and editorial teams often need to notify specific people when an important Post or Page goes live.

Publication Alert Manager adds that accountability to WordPress. Maintain your own list of verified contacts and groups, choose the notification audience, allow time for review and send an email through your existing WordPress mail setup. Then see what was sent and what readers engaged with.

Publication notification features

Everything around the alert.
Nothing unnecessary.

Built to keep WordPress publication communication controlled, traceable and easy for an editorial or administrative team to manage.

01 / Contacts & groups

A clear recipient directory

Maintain publication contacts, group membership and mandatory or optional recipient types, all within WordPress.

02 / Audience controls

Choose who receives each alert

Select default subscriber groups and override the audience for an individual Post or Page before it is sent.

03 / Editorial control

Built-in review and moderation

Use a review window, hold notifications and give designated moderators the option to approve or hold a distribution.

04 / Scheduling

Publish now. Notify later.

A default 24-hour review delay gives teams time to correct, reschedule or cancel a scheduled alert.

05 / Controlled delivery

A visible email queue

Process outgoing notifications in short batches, review queue health and investigate individual send failures.

06 / Branded communications

Design your email templates

Customise the notification and verification emails, preview layouts and send tests before going live.

07 / Verification & consent

Respect recipient preferences

Email verification, optional-recipient consent, unsubscribe handling and configurable verification reminders.

08 / Engagement insights

Understand reader activity

Track email opens and link clicks when enabled, with engagement data shown against publications and recipients.

09 / Accountability

Reports, exports and audit history

Review publication outcomes, recipient status, dashboard metrics and monthly activity reports.

10 / Follow-ups

Targeted resend controls

Send again to new recipients, people who did not open or click, everyone, or selected groups, immediately or on a schedule.

11 / WordPress-friendly email

Use your current mail setup

Send through wp_mail() and the site’s existing SMTP setup, with an optional plugin-scoped fallback.

12 / Privacy controls

Data handling with visibility

Use WordPress personal-data exporter and eraser support, optional tracking and retained operational history.

How it works

A clear workflow from
publish to notification.

This is a publication-alert system, not a campaign builder. Every alert remains connected to its WordPress publication and recipient history.

Publish. Review. Notify. Account for it.

Editors create content as usual. Publication Alert Manager prepares the notification, applies the selected audience and timing rules, and records the sending activity and engagement. Administrators can intervene before distribution or arrange a follow-up when needed.

01 · PublishCreate or publish a WordPress Post or Page and choose its notification settings.
02 · ReviewKeep the default review window, reschedule or have a moderator approve or hold.
03 · NotifySend to the chosen verified contacts using the existing WordPress mail transport.
04 · MeasureInspect queue state, publication reports, engagement and audit history.
